Welcome to Vibrant Affairs! We’re thrilled to help you create unforgettable events. By booking our services or using our website, you agree to the following terms, designed to protect both your experience and our business.

Our Services

We specialize in full-service event and wedding planning, including coordination, design, and vendor management. Your specific services will be outlined in your signed proposal or contract. Any additional requests outside the original scope may require a new agreement or fee adjustment.

Payment, Cancellations & Refunds

Payment Policy

  • A non-refundable retainer of $250 is required to secure your event date.
  • The remaining balance is due 1 week before the event date.
  • Late payments may incur a 50% late fee and can result in services being paused until payment is received.
  • Accepted payment methods: Credit Card, Zelle, PayPal or Cash.

Cancellation Policy

  • All payments, including the retainer, are non-refundable.
  • If you cancel more than 5 days before the event, your date will be released, but no refund will be provided.
  • Cancellations within 1 week of the event may require full payment if work has already been completed or expenses incurred.

Rescheduling Policy

  • If you need to reschedule, we will make every effort to move your event to a new date, subject to availability.
  • A rescheduling fee of $100 may apply, and all prior payments will be applied to the new date.
  • If Vibrant Affairs is unavailable for your new date, the standard cancellation policy applies.

Force Majeure (Uncontrollable Events)

  • Vibrant Affairs is not responsible for cancellations due to unforeseen events such as natural disasters, extreme weather, pandemics, or other circumstances beyond our control.
  • In such cases, we will work with you to reschedule your event or apply payments to a future date, but refunds will not be issued.

Your Responsibilities

  • A successful event is a team effort! We ask that you:
  • Provide accurate event details and respond to communications promptly.
  • Handle permits, insurance, or licenses if required for your venue or vendors.
  • Meet all timelines and deadlines to ensure a smooth event.

Vendors & Partnerships

  • We work with amazing vendors to bring your vision to life.
  • Outside vendors are welcome with prior approval, but we are not responsible for third-party vendor performance.

Liability & Event Disclaimers

Vibrant Affairs is not responsible for the actions, performance, or reliability of third-party vendors or venues.

We are not liable for injury, loss, property damage, or other incidents that may occur during your event.

We are not responsible for unforeseen circumstances beyond our control, including:

  • Severe weather, natural disasters, or pandemics
  • Vendor no-shows or delays
  • Venue malfunctions or restrictions
  • Guest behavior or misconduct

We highly recommend that all clients purchase event insurance to protect against unexpected costs or disruptions.

Use of Photos & Media

We love sharing our work! Photos and videos from your event may be featured in our portfolio, social media, or marketing unless you request otherwise in writing.

Legal & Dispute Resolution

These Terms and Conditions are governed by the laws of the State of North Carolina, without regard to its conflict of law principles.

Any disputes arising from or related to our services will first be addressed through good-faith negotiation.

If a resolution cannot be reached, the parties agree to attempt mediation or arbitration before pursuing litigation.

Any legal proceedings will take place in the state or federal courts located in North Carolina, Courts and both parties consent to the jurisdiction of those courts.
