Welcome to Vibrant Affairs. By booking our services or using our website, you agree to the following terms and conditions. These terms are designed to ensure transparency, protect both parties, and set clear expectations so we can focus on what matters most — creating your unforgettable celebration.
1. Booking & Payments

A signed contract and a non-refundable retainer (deposit) are required to secure your event date.

Remaining balances are due according to the payment schedule stated in your service agreement.

Late payments may incur additional fees or result in cancellation of services.

All payments are non-transferable unless otherwise agreed in writing.
2. Cancellations & Rescheduling
Payment Policy
- A non-refundable retainer of $250 per event & $500 per wedding is required to secure your event date.
- The remaining balance is due 1 week before the event date.
- Late payments may incur a 50% late fee and can result in services being paused until payment is received.
- Accepted payment methods: Credit Card, Zelle, PayPal or Cash.
Cancellation Policy
- All payments, including the retainer, are non-refundable.
- If you cancel more than 5 days before the event, your date will be released, but no refund will be provided.
- Cancellations within 1 week of the event may require full payment if work has already been completed or expenses incurred.
Rescheduling Policy
- If you need to reschedule, we will make every effort to move your event to a new date, subject to availability.
- A rescheduling fee of $100 may apply, and all prior payments will be applied to the new date.
- If Vibrant Affairs is unavailable for your new date, the standard cancellation policy applies.
Force Majeure (Uncontrollable Events)
- Vibrant Affairs is not responsible for cancellations due to unforeseen events such as natural disasters, extreme weather, pandemics, or other circumstances beyond our control.
- In such cases, we will work with you to reschedule your event or apply payments to a future date, but refunds will not be issued.
Your Responsibilities
- A successful event is a team effort! We ask that you:
- Provide accurate event details and respond to communications promptly.
- Handle permits, insurance, or licenses if required for your venue or vendors.
- Meet all timelines and deadlines to ensure a smooth event.
Vendors & Partnerships
- We work with amazing vendors to bring your vision to life.
- Outside vendors are welcome with prior approval, but we are not responsible for third-party vendor performance.
3. Services & Responsibilities

Vibrant Affairs agrees to provide event planning, design, coordination, and/or décor services as outlined in your specific package or service agreement.

The client agrees to provide accurate event details, timely communication, and full cooperation to ensure a smooth planning process.

We reserve the right to refuse services or terminate an agreement if a client or third-party vendor behaves in an abusive, unsafe, or disrespectful manner toward our team.
4. Vendor & Venue Relations

We may recommend trusted vendors but are not responsible for their individual performance, products, or services.

Any contracts with outside vendors or venues are between you and that vendor directly.

Vibrant Affairs is not liable for issues arising from third-party vendor negligence or cancellations.
5. Event Day Conduct

Clients and guests are expected to act respectfully toward all vendors and staff.

Any damages to décor, rentals, or venue property caused by guests are the client’s responsibility.

For safety reasons, Vibrant Affairs reserves the right to adjust or remove décor that may pose a hazard.
6. Photos & Marketing

Vibrant Affairs reserves the right to use professional photos and videos of your event for marketing and portfolio purposes, unless you request otherwise in writing prior to the event.

We always ensure images are used tastefully and with respect for your privacy.
7. Liability

Vibrant Affairs will take every measure to ensure your event runs smoothly, but we are not responsible for accidents, injuries, damages, or losses beyond our control.

The client agrees to release Vibrant Affairs from liability related to unforeseen circumstances, including but not limited to inclement weather, power failure, venue restrictions, or third-party vendor issues.

Vibrant Affairs, located in Thomasville, North Carolina is not responsible for the actions, performance, or reliability of third-party vendors or venues.
We are not liable for injury, loss, property damage, or other incidents that may occur during your event.
We are not responsible for unforeseen circumstances beyond our control, including:
- Severe weather, natural disasters, or pandemics
- Vendor no-shows or delays
- Venue malfunctions or restrictions
- Guest behavior or misconduct
We highly recommend that all clients purchase event insurance to protect against unexpected costs or disruptions.
Use of Photos & Media
We love sharing our work! Photos and videos from your event may be featured in our portfolio, social media, or marketing unless you request otherwise in writing.

We may update these Terms and Conditions as our business grows. Continuing to use our services or website confirms your agreement to the latest version.

8. Changes to Terms &Legal & Dispute Resolution

These terms may be updated from time to time. The latest version will always be available on our website or upon request.
These Terms and Conditions are governed by the laws of the State of North Carolina, without regard to its conflict of law principles.
Any disputes arising from or related to our services will first be addressed through good-faith negotiation.
If a resolution cannot be reached, the parties agree to attempt mediation or arbitration before pursuing litigation.
Any legal proceedings will take place in the state or federal courts located in North Carolina, Courts and both parties consent to the jurisdiction of those courts.
We’re here to serve with integrity, creativity, and care.
